Front Office Assistant

Part time

Requirements

  • High School Diploma or GED 

  • Computer Skills: General computer knowledge, email, Microsoft Word and Excel

  • Knowledge of healthcare, pediatrics, insurance and medical terminology preferred but not required

Duties and Responsibilities 

  • Receives a referral and takes new patient information, enters patient information into Fusion

  • Maintains and monitors the waiting list and updates families of status as needed

  • Scans all patient documentation into Fusion

  • Answers phone calls

  • Greets patients and families

  • Obtains initial scripts and sends requests to the doctor’s office if the script has expired prior to the evaluation date. Follow up with the doctor if the script has not been received within 48 hours

  • Attempts have been made to acquire initial scripts

  • Emails authorization specialist when authorization is required for an initial evaluation

  • Once initial evaluation authorization notification has been received, schedules the initial evaluation, maintains log and documents completion of the parent meeting in Fusion

  • Meets with families at the time of their child's evaluation to educate the parent on Kid Spot policies and procedures, including the flex-schedule policy; has signed consents, and has the attendance policy and benefits check signed

  • Completes Patient Intake form: (demographic sheet, case history, etc.) and forwards information to the therapist

  • Picks up waiting room and hallway at minimum one time daily on a schedule agreed upon with PSC

  • Communicates with PSC on a daily basis to ensure that any duties that have arisen unexpectedly or on short notice are completed in a timely and accurate manner

  • Provides reminder calls for initial evaluations

  • Decorates lobby and bulletin boards

  • Covers duties of PSC when that person is going to be out of the building

  • Maintains relationships with referral sources. Visit referral sources in person quarterly or as needed beyond the minimum requirements. 

    • Collaborates with the Marketing division to receive promotional items and gifts for referral sources. 

  • Completes other duties as requested by supervisor
